Using n8n, Gmail, and an AI engine (OpenAI), We created a fully automated workflow that handles this entire process — from the moment the client email arrives to the moment the final draft is ready to send.

Here’s how it works:

  1. Trigger: The workflow listens for new client emails with specific labels or keywords (like “quote” or “pricing”).

  2. Scope Identification: AI analyzes the email to determine what services are being requested.

  3. Engineer Assignment: Based on the scope, relevant engineers or team members are identified and draft emails are generated for them automatically.

  4. Input Collection: The workflow waits until all responses are received.

  5. Final Quotation Draft: Using the collected inputs, a clean draft quote is generated — applying any necessary markups or formatting rules.

  6. Gmail Drafts + Labels: The draft is saved directly in Gmail, complete with appropriate labels so nothing falls through the cracks.
